This Privacy Policy describes how Biovis Campaign Platform (“we,” “our,” “the Platform”), a product of Expert Vision Labs, accesses, uses, stores, and protects data — including data accessed through your connected Google Account — when you use our service.

1. Who we are

Biovis Campaign Platform is an email outreach and follow-up automation tool operated by Expert Vision Labs, designed to help businesses manage automated follow-up sequences with leads and contacts.

2. What data we access through your Google Account

When you connect your Gmail account to Biovis Campaign Platform via Google OAuth, we request the following permission (scope):

  • Send email on your behalf (gmail.send) — used to send initial outreach emails and scheduled follow-up emails to your contacts, from your own connected mailbox.

We do not read, modify, or manage labels on your mailbox. Reply detection — used to automatically pause a contact’s follow-up sequence once they’ve responded — is handled through a separate email-forwarding mechanism (Postmark), not by reading your Gmail inbox.

We do not access, read, or process any email in your mailbox unrelated to campaigns sent through the Platform. We do not access your Google Drive, Calendar, Contacts, or any other Google service.

3. How we use this data

  • To send outreach and follow-up emails you have configured, on your behalf, from your own mailbox.
  • To detect replies to those specific emails, so your automated follow-up sequence stops for a contact who has already responded.
  • We do not use the content of your emails or your contacts’ emails for any purpose other than operating the outreach and follow-up features you’ve configured.

4. How we store and protect this data

  • Your Google OAuth tokens (the credentials that allow us to act on your behalf) are encrypted at rest using AES-256-GCM encryption before being stored in our database. They are never stored or transmitted in plain text.
  • We do not sell or rent your Google user data to any third party, under any circumstances.
  • To operate the Platform, we share limited Google user data with the following service providers, solely as necessary to provide the,Platform’s core functionality, and under obligations that restrict their use of this data to providing services to us:
    • Postmark — processes incoming email replies to messages sent through
      the Platform, so we can detect when a contact has responded and pause
      their automated follow-up sequence. Postmark receives only the reply
      content and sender address of these specific inbound messages.
    • Supabase — our database provider, which stores Platform data,
      including encrypted Google OAuth tokens and campaign records, on our behalf.
    • Railway — our application hosting provider, which runs the
      Platform’s backend infrastructure.
  • None of these providers are permitted to use Google user data for their own purposes, to sell or share it further, or to use it to train AI or machine learning models.We do not use your Google user data to train any AI or machine learning models, ourselves or through any third party.
  • Access to stored data is limited to what’s necessary to operate the Platform’s features.

5. Other data we collect

Separate from Google Account data, when you use the Platform we also store:

  • Contact information you upload for outreach campaigns (names, email addresses, company names, and — where provided — phone numbers). Every contact must have a recorded, verified basis for consent before it can be used for outreach — such as a direct phone inquiry in which the person requested product information, or an in-person interaction such as a trade show at which the contact was collected with the person’s knowledge (e.g., a business card or a completed feedback form). The Platform will not send email to a contact with no recorded consent basis on file. Phone numbers are encrypted at rest; other fields are stored as provided to support core functionality like deduplication and search.
  • Records of emails sent and their delivery/reply status, to power your campaign dashboard and reporting.
  • An audit log of account actions (logins, sends, data exports/deletions) for security and accountability purposes.

5a. Consent requirement for platform users

Any organization or individual using the Platform to send outreach emails (“Users”) is strictly prohibited from uploading, importing, or sending email to any contact who has not provided prior consent to receive sales or marketing communications from that User. Acceptable forms of consent include, but are not limited to, a direct inquiry in which the contact requested product or service information, or an in-person interaction (such as a trade show) at which the contact knowingly provided their information for follow-up. Users are solely responsible for ensuring they have valid consent for every contact they upload to the Platform. The Platform enforces a technical requirement that every contact record include a declared consent source before it can be emailed, but Users remain responsible for the accuracy of that declaration. Violation of this requirement may result in suspension or termination of the User’s access to the Platform.

6. Data retention and deletion

  • You may disconnect your Google Account from the Platform at any time, which immediately revokes our access to send or read your mail.
  • Contact records can be erased on request — we anonymize the contact’s personal details (name, email, phone) while retaining non-identifying campaign statistics, in line with data protection principles that permit retaining aggregate records that no longer identify an individual.

7. Your rights

Depending on your jurisdiction, you may have rights to access, correct, export, or delete your personal data, and to withdraw consent for Google Account access at any time via your [Google Account’s third-party access settings](https://myaccount.google.com/permissions) or by contacting us directly. If you have received an outreach email through the Platform and no longer wish to receive further emails, you may opt out at any time by replying “unsubscribe” to any email you receive from us, or by contacting us directly at harshalhegde@expertvisionlabs.com. Opt-out requests are honored permanently for that contact.

8. Changes to this policy

We may update this Privacy Policy from time to time. Material changes will be reflected with an updated “Last updated” date above.
